Privacy Policy

This policy explains what personal information SignoffDock handles, why we use it, who receives it, and the choices available to individuals.

Current advertising posture: SignoffDock does not currently sell personal information or use personal information for cross-context behavioral or targeted advertising.

1. Scope and roles

This Privacy Policy applies to SignoffDock websites, applications, approval links, support interactions, and related services. Guiding Dawn Holdings operates SignoffDock.

For account, website, billing, and direct business relationship information, we generally act as the business/controller. For personal information contained in Customer Content that a business customer uploads or asks us to process on its behalf, we generally act as a service provider/processor and follow that customer’s instructions.

2. Information we collect

  • Account and company information: names, business names, email addresses, roles, workspace settings, and authentication identifiers.
  • Customer Content: proofs, files, artwork, project details, customer contact information, comments, and related workflow data submitted by users.
  • Approval records: approval decisions, revision requests, typed names, comments, timestamps, approval references, and related event metadata.
  • Technical information: browser/device information, security logs, session information, request metadata, and similar operational data.
  • Communications: support requests, feedback, and other communications with us.
  • Billing information: subscription and transaction metadata when billing is enabled. Payment card details are expected to be handled by our payment processor rather than stored directly by SignoffDock.

3. How we use information

  • provide, authenticate, secure, and support SignoffDock;
  • send requested approval emails, reminders, service notifications, and support responses;
  • maintain revision history, audit trails, approval records, and customer-requested reports;
  • detect abuse, troubleshoot errors, protect accounts, and maintain service reliability;
  • administer subscriptions, trials, billing, and customer relationships;
  • understand and improve product performance where permitted by your privacy choices;
  • comply with law, enforce agreements, and protect rights and safety.

4. Browser storage and cookies

SignoffDock uses necessary browser storage for authentication, security, workspace selection, and privacy preferences. Optional analytics or marketing technology, if introduced, will be governed by the choices described in our Cookie & Browser Storage Policy. We honor applicable browser-based opt-out signals such as Global Privacy Control where required.

5. How we disclose information

We may disclose information to service providers that help us operate SignoffDock, to your organization and authorized users, at your direction to approval recipients, in a business transfer, or when reasonably necessary to comply with law or protect rights and security. Current service providers are listed on our Subprocessors page.

6. Sale, sharing, and targeted advertising

We do not currently sell personal information for money, and we do not currently use personal information for cross-context behavioral or targeted advertising. If this changes, we will update this policy and implement legally required notice and opt-out mechanisms before the relevant processing begins.

7. Data retention

We retain information for as long as reasonably necessary to provide the service, maintain legitimate business and security records, comply with contractual or legal obligations, resolve disputes, and enforce agreements. Retention can vary by data type and customer configuration. Deleted information may remain for a limited period in backups or security logs before aging out through ordinary retention processes.

8. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure. See our Security page for a current summary of safeguards.

9. Your privacy rights

Depending on where you live and applicable law, you may have rights to request access, correction, deletion, portability, information about processing, or to opt out of certain sale, sharing, targeted advertising, or profiling. You may also have a right to appeal a privacy-request decision.

We will not discriminate against you for exercising an applicable privacy right. We may need to verify your identity and authority before fulfilling a request. If SignoffDock processes your information solely on behalf of one of our business customers, we may direct the request to that customer.

11. International processing

Our service providers may process information in the United States and other jurisdictions where they operate. Where applicable law requires a transfer mechanism, we will use an appropriate mechanism.
